Refund Policy for Grounded Wellness Studio

This policy explains the conditions under which refunds will be issued for prepayments or unused services. It is designed to be fair, transparent and easy to understand.
Policy Statement
At Grounded Wellness Studio, we aim to provide clear guidance on refunds for prepayments or services not rendered. Refunds are considered under the conditions outlined below.
Prepayments for Services
Prepayments for services (e.g., a pre-purchase pack) are refundable under specific circumstances, such as:
- The clinic cancels the service and no alternative arrangements are offered.
- A duplicate or overpayment occurs.
- Services are not delivered within the agreed timeframe.
Unused services
- If you pre-pay for a series of treatments or services but do not use them:
- A refund will be issued for the unused portion based on the standard visit rate.
- Refunds do not apply for visits that were booked but not attended without appropriate notice.
- Pre-purchase packs are valid for 12 months from the date of purchase.
Important: Refunds are calculated based on visits already used; the remaining balance will be refunded to the original payment method within 14 days.
Refund Process
To request a refund:
- Submit a written request (email) including proof of payment and reason for the refund.
- Refunds will be processed within 14 days of receipt
- Payment will be refunded using the same method as the original payment.
Refund Exceptions
Refunds may not be issued if:
- The client fails to provide adequate notice of cancellation according to the clinic’s cancellation policy.
- A treatment has already been delivered.
Responsibilities
- Clients: Provide all necessary information to support refund requests and adhere to the clinic’s cancellation and refund terms.
- Practitioner: Review refund requests promptly and process them in line with this policy.
Acknowledgement
By purchasing a pre-purchase pack or service, you confirm that you have read, understood, and agree to the terms outlined in this policy.
Review and Monitoring
This policy will be reviewed annually to ensure it is fair and in line with legal requirements and operational procedures.
